Service 04 / Changeover

Gallery changeover
services.

A room-by-room process for moving from one exhibition phase to the next without losing sequence or control.

Gallery room cleared and prepared for a new exhibition installation

Two exhibitions. One controlled transition.

Changeovers are planned as linked phases: removal, room preparation, staging, installation and final checks. Each phase has a responsible action, a defined area and an agreed handover.

Working sequence

Existing works are removed according to an agreed order. Items are moved to their designated staging or return area. Walls and floors are then reviewed before new positions are marked and the next installation begins.

Room-by-room sequencing helps prevent congestion. It also makes exceptions visible early, particularly where access, cleaning, surface repairs, lighting or packaging storage affect the schedule.

Practical changeover checklist

  • Confirm removal order and destination for each work or display element.
  • Mark active, cleared and ready rooms.
  • Protect routes and separate outgoing from incoming materials.
  • Review walls, floors, labels, plinths and lighting points.
  • Stage new works by room and installation sequence.
  • Record plan changes and unresolved actions.
  • Complete final room checks before handover.

Coordination between phases

A changeover often involves exhibition staff, installers, technicians, cleaners and building contacts. A concise schedule gives each group a clear handover point. It also reduces the risk of tools, packaging or unfinished surfaces remaining in a public-facing room.

Good for

Temporary exhibitions, gallery rotations, short installation windows, sequential room openings and planned exhibition removals.

What to know

Timing depends on access hours, artwork preparation, surface condition and the number of rooms. A changeover plan should include contingency time for unexpected condition findings. Removal and handling procedures must follow the relevant artwork, lender and site requirements.
